Plain‑English summary

We collect only the information needed to operate our websites, applications, and messaging. We do not sell personal data, and we do not use your content to train AI models. Content you submit may be sent to AI providers (Anthropic, OpenAI, Google) solely to generate responses for you — they do not train on our API traffic. You remain in control of your data and can request access, correction, or deletion at any time.

This Privacy Policy explains how Synaxis, LLC ("Synaxis," "we," "us," or "our") collects, uses, and protects personal information across our websites, applications, browser extensions, and SMS messaging services.

Synaxis is a Georgia (USA) limited liability company.


1. Scope of this policy

This Privacy Policy applies to:

  • Synaxis.ai — our marketing and informational website.
  • Authexis (authexis.app) — our voice-first content production platform, including its Chrome and Firefox browser extensions and its native macOS/iPadOS/iPhone app.
  • Eclectis (eclectis.app) — our personal content intelligence service.
  • Diktura (diktura.com) — our customer interaction hub, including the embeddable widget we provide to Diktura customers.
  • Textorium — our native macOS/iPadOS/iPhone editor distributed via the Apple App Store.
  • Scholexis (scholexis.app) — our academic task manager.
  • Kit — our AI-powered household meal-planning assistant, accessible via email and SMS.

Different products collect different types of information. We describe these differences below. References to "our services" in this policy include all of the above.


2. Information we collect

2.1 Information you provide directly

Depending on how you interact with us, we may collect:

  • Name
  • Email address
  • Mobile phone number (Kit SMS subscribers only; see Section 2.5)
  • Company or organization name
  • Account credentials
  • User-submitted content within our applications, including written text, uploaded files (audio, images, PDFs), pasted URLs and transcripts, voice recordings, and responses to in-product prompts
  • Meal preferences, dietary restrictions, and household schedules (Kit users only)
  • Communications you send to us, including feedback and support requests

We do not use user-submitted content to train AI models or to improve our products outside the scope of providing the service you requested, unless you explicitly provide feedback requesting a change or fix.

2.2 Information collected automatically

When you visit our websites or use our applications, we may collect certain technical and usage information automatically:

  • IP address (anonymized where feasible)
  • Browser type and version
  • Device identifiers
  • Operating system
  • Pages visited and actions taken
  • Feature usage and interaction patterns
  • Referring URLs
  • Crash and performance diagnostics

For Synaxis.ai and marketing-related portions of our other web apps, we use tools such as Google Analytics to understand website traffic and marketing performance. Analytics data is collected in anonymized or aggregated form where supported.

For our applications (Authexis, Eclectis, Diktura, Scholexis), we use analytics tools to understand application usage, feature adoption, and performance. This data is used solely to operate, maintain, and improve the product and is not used for advertising.

2.3 Voice recordings and audio content

Authexis records voice interviews when you choose to conduct an audio interview inside the product. Audio files are stored in our cloud infrastructure and transcribed using a speech-to-text service (currently OpenAI Whisper). Transcripts are used solely to generate content you requested within Authexis. You can delete a recording and its transcript at any time from within the product.

Authexis also accepts user-supplied source material — pasted transcripts, article URLs that we fetch and parse, and uploaded audio recordings — which is processed through the same pipeline.

2.4 Browser extension data (Authexis)

The Authexis browser extension, when installed and activated by you, can access the URL of the page you are currently viewing and any text you have selected. This data is transmitted to Authexis only when you explicitly invoke an extension action. The extension does not passively track your browsing history and does not collect data from pages where no action is taken.

2.5 SMS messaging data (Kit)

Kit subscribers provide a mobile phone number at enrollment and confirm their opt-in by texting YES to our Kit SMS number (see our SMS consent page). We collect:

  • The mobile phone number you opted in from
  • The date and time of your opt-in, opt-out, and any help requests
  • The content of inbound SMS messages you send to Kit (used to personalize meal plans)
  • Delivery receipts and metadata returned by our SMS carrier

Kit uses only the phone numbers of consented subscribers, only for the purposes disclosed in the SMS consent page. Phone numbers are never shared with third parties for marketing. You can opt out at any time by texting STOP.

2.6 Cookies and tracking technologies

We use cookies and similar technologies to:

  • Operate and secure our websites and applications
  • Keep you signed in
  • Understand how visitors use our services
  • Improve performance and user experience

You can control cookies through your browser settings. Some functionality may not work without session cookies.


3. How we use information

We use personal information to:

  • Provide and operate our services
  • Create and manage user accounts
  • Generate AI-produced content and recommendations that you request
  • Deliver the SMS messages Kit subscribers have opted in to receive
  • Process payments (where applicable)
  • Communicate with users about their account and our services
  • Respond to inquiries and support requests
  • Maintain security and prevent misuse
  • Comply with legal obligations

4. AI providers and content processing

Our applications use large language models and related AI services to generate content, answer questions, produce summaries, transcribe audio, and perform similar tasks. When you use a feature that requires AI processing, the relevant content you submit (or we retrieve on your behalf) is transmitted to a third-party AI provider to generate a response for you.

Current AI providers include:

  • Anthropic (Claude models) — primary content generation
  • OpenAI (Whisper for speech-to-text; occasionally GPT models) — transcription and auxiliary generation
  • Google (Gemini) — occasional use for specialized tasks

These providers process our API requests under contracts that prohibit training on our traffic. Their use of the transmitted content is limited to returning a response to the request and operating the service. We do not knowingly submit data they have declined to handle (for example, personal information subject to their own restricted-data policies).

This is separate from, and in addition to, the statement that we do not use user content to train our own models. We do not train any models.


5. Payments

Our products may offer paid features. Payments are processed through third-party payment processors such as Stripe and Apple. We do not store or process full payment card information ourselves.

Payment processors handle your payment information in accordance with their own privacy policies.


6. Data storage and retention

We retain personal information only for as long as necessary to:

  • Provide our services
  • Fulfill the purposes described in this policy
  • Comply with legal and regulatory requirements

User-submitted content inside our applications is stored for as long as you maintain it or require it for use of the service. You can delete items from within each product. When you close an account, we delete or anonymize your content within 30 days, except where retention is required by law.

SMS opt-in records (phone number, opt-in timestamp, consent artifact) are retained for the life of your subscription and for a reasonable audit period afterward to demonstrate compliance with carrier and regulatory requirements.


7. Data sharing and disclosure

We do not sell personal information.

We may share information only:

  • With service providers and sub-processors who help operate our services (see Section 8)
  • When required by law or legal process
  • To protect the rights, safety, or security of Synaxis, our users, or others
  • In connection with a business transaction (merger, acquisition, reorganization), with appropriate safeguards

8. Sub-processors and third-party services

Our services rely on trusted third-party infrastructure and service providers. Current categories and representative providers:

  • Cloud hosting and edge: Vercel, Cloudflare
  • Databases and application backend: Supabase, Neon
  • AI model providers: Anthropic, OpenAI, Google (see Section 4)
  • Outbound transactional email: Brevo, Resend (account emails, opt-in confirmations, product notifications)
  • Newsletter delivery: Brevo
  • @synaxis.ai mailbox hosting: Fastmail (inbound mail users send to our synaxis.ai addresses, and any outbound we send from a @synaxis.ai mailbox)
  • SMS delivery: a US-based CPaaS provider subject to A2P 10DLC carrier requirements (for Kit)
  • Analytics: Google Analytics, PostHog
  • Payment processors: Stripe, Apple
  • Error and performance monitoring: Sentry

These third parties receive only the information necessary to perform their functions and are required to handle data in accordance with applicable privacy and security obligations. We update this list as our infrastructure evolves.


9. International users

Synaxis is based in the United States. If you access our services from outside the U.S., your information may be transferred to and processed in the United States or other jurisdictions where our service providers operate.

By using our services, you consent to this transfer. Where required, we rely on appropriate legal mechanisms (such as Standard Contractual Clauses) to protect international transfers.


10. Your rights

Depending on your location, you may have legal rights regarding your personal information.

10.1 GDPR (European Economic Area, UK, Switzerland)

If you are located in the EEA, UK, or Switzerland, you have the right to:

  • Access your personal data
  • Correct inaccurate or incomplete data
  • Request deletion of your data
  • Restrict or object to certain processing
  • Request data portability
  • Withdraw consent where processing is based on consent
  • Lodge a complaint with your local data protection authority

We process personal data under one or more of the following legal bases: performance of a contract, legitimate interests, consent, and legal obligation.

10.2 CCPA / CPRA (California)

If you are a California resident, you have the right to:

  • Know what personal information we collect and how it is used
  • Request deletion of personal information
  • Correct inaccurate personal information
  • Opt out of the sale or sharing of personal information (we do not sell personal information)
  • Limit the use of sensitive personal information

We will not discriminate against you for exercising your privacy rights.

10.3 SMS-specific rights (Kit subscribers)

If you are a Kit SMS subscriber, you can:

  • Stop receiving messages at any time by texting STOP to our SMS number
  • Request help by texting HELP
  • Request deletion of your SMS opt-in record and message history by emailing kit@synaxis.ai

11. Children's privacy

Our services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. Scholexis is designed for high school and college students; we do not knowingly enroll users under 13.


12. Security

We use reasonable administrative, technical, and organizational measures to protect personal information, including encryption in transit, encrypted storage of credentials, access controls, and regular review of our sub-processors. No method of transmission or storage is completely secure.


13. Changes to this policy

We may update this Privacy Policy as our products, services, or legal obligations evolve. When we do, we will revise the "Last updated" date and post the updated policy on this page. Material changes will be communicated through the affected product or by email where appropriate.
